How do I add my vehicles?

Go to Vehicles, enter each registration and click Add vehicle. A QR sticker is created for each one. Print the stickers and fix one inside each cab door.

Do my drivers need to download an app?

No. Drivers scan the QR sticker with their phone camera and the check opens in their web browser. Nothing to install, no password to remember.

Drivers

How do drivers sign in?

With their name and a private 4 to 6 digit PIN that you set on the Drivers page. You can reset a PIN at any time.

Watch: Add drivers and PINs
Do drivers cost anything?

No. Drivers are free. Fair use allows up to 3 active drivers per vehicle, with a minimum of 10, which covers shift patterns, holiday cover and agency staff.

Can a driver check any van?

No, only the van a manager has assigned them. This keeps managers accountable for knowing who is in which van. If a driver moves to a different van, their next check is automatically a full takeover check.

The checks

What are the four checks?

The daily check covers 8 essentials: lights, tyres, brakes, steering, mirrors and glass, wipers, leaks, and bodywork and load security.

The weekly check adds fluid levels, tyre tread on all four tyres, horn, seat belts, number plates and emergency equipment.

The vehicle takeover check, for van swaps, new starters, hire vehicles and vans back from the workshop, adds a full photo condition record of the front, both sides, rear, cab and load area.

The vehicle handback check is done when a vehicle goes back: off hire, moving to another vehicle, going in for repair or end of use. It repeats the photo condition record and checks the fuel level, keys, fuel card and documents, and that the cab and load area are cleared.

Why does every item need a photo?

So a check can only be done at the van. Lights need a front and rear photo with the lights on, mirrors need the windscreen and both mirrors, and tyre tread is photographed on each tyre. Every photo is stamped with the registration, time, date and GPS location.

What happens when a driver reports a do not drive defect?

They must add a note and a photo. When they submit, the van is marked off the road and the manager is alerted straight away. The defect stays open until a named person signs off the repair.

What if a driver is not fit to drive?

Every check starts with a fit to drive declaration. If the driver answers No, the check stops and the manager is alerted to arrange cover.

Managers and superusers

What is the difference between a superuser, a manager and a driver?

Superusers control billing, the plan and the team. Managers run the fleet: vehicles, drivers, allocations and defects. Drivers only do checks on their assigned van and never see the portal.

How do I upgrade a manager to a superuser?

Superusers open Team and click Make superuser next to the person. A fleet can have up to two superusers.

Watch: Upgrade a manager or promote a driver
How do I promote a driver to manager?

On the Team page, use Promote a driver: choose the driver, add their email and choose the role. Tick the box if they will still drive. They join when they create their account with that email.

What is the morning allocation check?

Each morning a manager confirms on the dashboard that every driver is in the right van. The dashboard flags vans with no driver and drivers with no van, and the confirmation is recorded.

Can I keep MOT, tax and insurance dates in First Parade?

Yes. Each vehicle holds its insurer and renewal date, MOT expiry, vehicle tax expiry, breakdown provider and renewal, and last and next service. The Compliance page shows everything due in the next 30 days, and you can download it all as a spreadsheet.

Every superuser and manager gets an email 30, 21, 14 and 7 days before a date, then every day until the date is updated or the reminder is turned off for that vehicle.

How do hire vehicles work?

Add the registration as a hire vehicle with the hire company and the vehicle it is covering. Its first check is a takeover with the reason On hire, and its last is a handback with the reason Off hire.

Both checks record time, date and GPS stamped photos of every side, the cab and the load area, so you have the evidence to answer any damage claim from the hire company.

A van is in for repair. What do I do?

Set it to In garage or Off the road from the dashboard. It stops expecting checks, and its driver is freed up to be assigned elsewhere.

Billing

How much does it cost?

£19 a month covers up to 5 vehicles. Vehicles 6 to 20 add £2 each, 21 to 40 add £1.50 each, and 41 to 100 add £1 each. Fleets of 101 or more get an enterprise plan.

Watch: Your plan and billing
Monthly or annual?

Monthly plans roll month to month with no contract, and you can cancel any time. Annual is one payment upfront at a lower rate: you pay for 10 months and get 12.

What if my fleet changes?

Swapping one van for another is always free. A vehicle added on any day is charged for that whole month, so there are no part month sums to work out. On an annual plan it is charged from the 1st of that month to the end of your term. On a monthly plan you can remove vehicles whenever you like, and your next month is billed for the smaller fleet. On an annual plan you can reduce by up to 20% of your largest fleet size in each term, at most 6 vehicles, applied at the end of each quarter as credit.

Do hire vehicles cost extra?

On an annual plan you get hire cover: 1 free hire vehicle per term for fleets up to 40 vehicles, and 4 for fleets of 41 or more. A hire vehicle is free while it covers one of yours that is in the garage or off the road. When yours goes back into service you have 3 days to off hire before it is charged at your band rate.

On a monthly plan a hire vehicle is charged as an extra vehicle at your band rate.

What happens when my trial ends?

You will get reminder emails before it ends. If you do not subscribe, the portal becomes read only and drivers get a 7 day grace period, so you are never left without checks overnight. You can still download your records.

Do you charge VAT?

Prices exclude VAT where applicable.

Data and compliance

Where is my data stored and for how long?

Check records and photos are stored in UK and EU data centres and kept for at least 15 months, in line with DVSA guidance on keeping walkaround and defect records.

Does First Parade make me DVSA compliant?

First Parade helps you carry out, record and evidence walkaround checks and defect repairs in line with DVSA guidance. Compliance also depends on your own maintenance, training and processes, so it is a tool to support compliance rather than a guarantee of it.

Why do you record GPS location?

To prove a check was done at the vehicle. Location is captured only during a check, never tracked otherwise, and is stamped on the check and its photos.
